Fix data: re-uploading, duplicates and deleting

Read this before you upload a file a second time.

Uploading the same file twice doubles your data

Avarni does not detect duplicate uploads. If you upload the same file again, you get a second copy of every row and your emissions double.

This applies to activity data, invoices and spreadsheets.

To replace a file, delete the original first, then upload the replacement.

Chart of accounts uploads are the exception. Those are checked for duplicates.

Trial balances never feed your emissions, so importing one twice does not double anything. It does leave two balances at the same date. Remove the extra one on the Trial Balances screen.

Delete a file

  1. Go to Imported Data and open the Imports tab.

  2. Find the file and open its actions menu.

  3. Select Delete file.

  4. Type DELETE to confirm.

Deleting a file removes every activity and every emission created from it.

You cannot undo this. There is no restore. If you are unsure, download the original file first using Download original file in the same menu.

You cannot delete a file while it is still importing.

Correct rows instead of deleting the file

If the file is right and a few rows are wrong, edit the rows.

  1. Go to Emissions Hub.

  2. Open the actions menu on the row.

  3. Select Edit.

You can also Clone a row, or Delete a single row. Deleting a row cannot be undone either.

Edit many rows at once

  1. Go to Emissions Hub.

  2. Filter to the rows you want.

  3. Select the rows.

  4. Select Bulk Edit and choose the field.

Leave the value empty to clear that field on every selected row.

Changing the input unit can clear your emission factors

If you bulk edit the input unit and the new unit belongs to a different unit type, Avarni clears the emission factor on those rows and sets them back to unmapped.

Changing kWh to MWh keeps the factor, because both measure energy. Changing kWh to litres clears it.

After a unit change, check the affected rows and reassign the factor.

When a change needs a reload

Some changes apply only to data imported after the change:

  • Exchange rate source

  • Inflation source

After changing any of these, reload the affected data so the change takes effect.

Chart of accounts changes work differently. When you change the category of an account, or exclude it, Avarni updates the transactions already loaded. If you include an account that was excluded when you uploaded the general ledger, its rows were not loaded. Upload the missing rows for that account, or reload the general ledger.

One change recalculates everything on its own. If you change your global warming potential source, Avarni recalculates all historical and future emissions. This takes several minutes, and some results are unavailable while it runs.
