Upload your chart of accounts first, then your trial balances, then your general ledger. Each one depends on the last.
To decide which accounts to include, see Chart of accounts: what to include and what to leave out.
Upload the chart of accounts
Go to Assessments and open your assessment.
Select Chart of Accounts.
Upload your file and map the columns.
Three columns are required:
Column | Contents |
Account code | The code your finance system uses |
Account name | The account description |
Account type | Asset, Liability, Equity, Revenue or Expense |
These columns are optional: alternate names, account currency, scope, category and justification.
Send the file flat, with one row per account. If your finance system exports a nested chart of accounts, flatten it first.
What a trial balance is for
A trial balance does not feed your emissions. Your spend comes from the general ledger.
Avarni uses trial balances as the reference for checking that your general ledger is complete. For every account, the opening balance plus the ledger transactions should equal the closing balance. If they do not, transactions are missing or extra ones were loaded. See Check your general ledger is complete against your trial balances.
Which trial balances to upload
Each file is one balance at one date. To run the check you need two:
An opening balance, dated the day before your reporting period starts.
A closing balance, dated the last day of your reporting period.
You can add more, for example one at the end of each quarter, and check the ledger between any two of them.
A trial balance date must fall inside the assessment's reporting period, or on the day before it starts.
Import a trial balance
In your assessment, select Trial Balances.
Select Import trial balance.
Set the As-of date. It defaults to the last day of the assessment.
Set the Currency the balances are in. It defaults to the assessment's currency.
Select Continue, then upload your file and map the columns.
Two columns are required: account code and balance. Account name is optional and is not stored, because Avarni takes it from your chart of accounts.
The date and currency are chosen when you start the import. They are not columns in the file.
Repeat for each balance.
If the screen says Chart of Accounts required, upload your chart of accounts first. The Trial Balances screen stays locked until you do.
Why a trial balance import fails
If any row has one of these problems, the whole import fails and shows the status Errored:
An account code is blank.
A balance is not a number.
An account code is not in your chart of accounts.
The same account code appears twice in the file.
Fix the file, remove the errored balance, and import it again.
Check what you imported
The Trial Balances screen lists every balance with its As of date, Currency, Status and number of Entries.
Select View on a balance to see each account and its balance.
Replace a trial balance
There is no replace. Select Remove on the balance you want to replace, then import the new file.
Removing a balance deletes its entries.
If you import the same file twice, you get two balances at the same date. Nothing is double counted, because trial balances do not feed your emissions, but remove the extra one so it is clear which to use.
A trial balance must finish before the ledger can load
Every trial balance in the assessment must have finished importing, and must contain at least one account, before Avarni accepts a general ledger upload. A balance that is still importing blocks the ledger.
A balance that errored does not block the ledger. Remove it anyway.
If your trial balance does not balance
Check whether your profit and loss accounts were zeroed without the balance moving to retained earnings. That produces a difference at the bottom.
To add a balancing adjustment, insert it as a line in the file before you upload, tagged with an account code.
Consolidation and elimination entries
If your audited trial balance is post-elimination, ask your finance team for the elimination balance per account. Upload it alongside the general ledger so the totals agree.
Next
Once your chart of accounts and trial balances are loaded, upload your general ledger. See Upload your general ledger. Then check the ledger against your trial balances.
